Administrative Assistant, Fresno, CA
Essential Responsibilities & Qualifications
- Keep reception area, conference room, and other offices clean and neat to present a professional, welcoming environment to customers and visitors
- Greet office guests in a friendly, professional manner. Notify appropriate employee(s) of visitors’ arrival
- Answer telephone in a friendly, professional manner within 2 rings. Route callers to appropriate staff members, or take accurate, complete messages as needed. Answer gate requests and screen visitors
- Receive incoming mail and faxes, and route to appropriate departments. Prepare outbound mail and UPS/FedEx packages for pick-up
- Monitor inventory of office supplies (paper goods, desk supplies, kitchen supplies, etc.), and purchase as needed according to established budgets
- Schedule facility maintenance and repair work as needed with purchasing department
- Serve as primary point of contact for printing service, alarm company, cleaning service, computer network service, and other service/maintenance providers. Coordinate service calls as needed
- Prepare letters, memos, spreadsheets, flyers, and other documents as requested by office staff
- Participate in coordinating company events (customer visits, holiday parties, staff lunches, executive meetings, etc.) including location, food/beverage, audio/visual requirements, and communication
- Minimum 2 years’ experience in an office environment
- Knowledge and experience with Enterprise Resource Planning a plus
- Computer competence including Microsoft Office suite
- Excellent verbal and written English communication skills
- Self-starter, able to take initiative and work independently with minimal supervision
- Excellent analytical and problem solving skills
- Ability to manage and prioritize multiple tasks under deadline pressure
- Pay Rate: $19/hr.
